Who we are

North Yorkshire Web Design (formerly FAC Systems) is based in Thirsk, North Yorkshire, and is run by Frederick Calvert, who is the data controller for the personal data described in this policy. What we collect and why

Contact form. When you submit the contact form, we collect your name, email address, phone number (if given) and message. This is sent directly to our mailbox so we can reply to your enquiry — it isn't added to a mailing list or used for anything else.

reCAPTCHA. Our contact form uses Google reCAPTCHA v3 to reduce spam submissions. reCAPTCHA runs a background check and may set cookies or process your IP address and browser data to do this. This is covered by Google's own Privacy Policy and Terms of Service, not ours. If reCAPTCHA can't verify a submission (for example, if your browser blocks it), the form still works — we simply rely on other spam checks instead.

Map on the contact page. Our contact page embeds a Google Maps view of Thirsk. Loading that map means your browser makes a request to Google, which may set its own cookies under its privacy policy linked above.

Hosting. This site is hosted with Hostinger. Like most web hosts, basic technical logs (such as IP address, browser type and pages requested) are processed automatically to keep the site running securely — we don't use this for tracking or profiling visitors.

Microsoft Clarity. With your consent (see the cookie notice when you first visit), we use Microsoft Clarity to understand how visitors use this site — anonymised session recordings and heatmaps, so we can see which pages work well and where people get stuck. We use this to improve the site, not to identify you personally. It only runs if you accept it, and is covered by Microsoft's Privacy Statement.

Outreach emails. Outreach emails are sent and stored using Google (Gmail and Google Sheets) and Hostinger email services, which process data on our behalf.

Where we get business contact details

As well as replying to enquiries, we sometimes contact other UK businesses directly to let them know about our web design services. If you've received an email from us this way, here's where that came from and what your options are.

Where it comes from. We collect business contact details from public sources: Companies House, public Google business listings, and the business's own website. We do not buy or rent data from third-party marketing lists.

Why we're allowed to. We rely on legitimate interests as our lawful basis under UK GDPR: contacting another business, using details it has already made public, about a service relevant to running that business. We only use this for that one purpose, and we don't combine it with any other data about you.

How to opt out.You can ask us to stop contacting you at any time by replying “no thanks” to any email or emailing info@northyorkshirewebdesign.co.uk. We will stop straight away. We keep a minimal record (your email address and company name) on a do-not-contact list solely to make sure you are not contacted again.

Cookies

Essential cookies are always on. They keep the site working and remember your cookie choices.

Analytics (Microsoft Clarity), only with your consent. Anonymised session recordings and heatmaps help us improve the site.

Ads (Google Ads), only with your consent. These measure how our adverts perform and help show relevant ads.

Google reCAPTCHA protects our contact form from spam and may set its own cookies.

You can change your choices at any time using Cookie settings at the bottom of every page. Google's and Microsoft's privacy policies apply to their services.

How long we keep it

We keep contact form enquiries only as long as needed to respond to you and, where relevant, deliver any work agreed — after which we delete them unless we're required to keep records for a legitimate business reason (such as invoicing).

Business contact details collected for outreach are deleted 12 months after our last email if there has been no reply, except for entries on our do-not-contact list.

Your rights

Under UK GDPR, you can ask to see what personal data we hold about you, ask us to correct or delete it, or object to how it's used. You have an absolute right to object to direct marketing — if you object, we will not contact you again. To do this, email info@northyorkshirewebdesign.co.uk. If you're not satisfied with our response, you can complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.

Changes

If this policy changes, we'll update this page and the date at the top. See also our Terms & Conditions.
